Terms of service
Last updated
The short version
- These terms are between your business and Roomful, for using the Roomful app on your Shopify store.
- Any app charges are billed by Shopify, on your Shopify bill. We don't take a fee on tickets. If prices or plans change, we'll tell you first.
- Your events are yours to run: the event itself, refunds, and the terms you give your customers.
- We work hard to keep Roomful running, but it's provided as it is, and our liability is limited.
- You can uninstall at any time. Your shop's data is then deleted, so export your guest lists first.
01
About these terms
These terms are an agreement between Roomful ("we", "us"), based in Delhi, India, and the business that installs Roomful on its Shopify store ("you"). By installing or using Roomful, you agree to them. If you install Roomful for a business, you confirm you're allowed to accept these terms for it.
Our Privacy policy explains how we handle data, and is part of these terms. Your use of Shopify is also covered by Shopify's own terms, which are between you and Shopify.
02
What Roomful does
Roomful lets you sell tickets to events, classes and sessions as products in your Shopify store. In particular:
- You create and manage events inside the Shopify admin. Roomful keeps them in sync with Shopify products, variants and stock.
- Customers pay at your normal Shopify checkout.
- When an order is paid, Roomful issues tickets with QR codes, emails them to the buyer, and hosts a ticket page the buyer can open from the email.
- Roomful can send reminders and your messages to guests, and marks ticket orders as fulfilled.
- Your staff check guests in on a web page on any phone, by scanning the QR code or searching a name.
We may improve, change or remove features over time. If we remove something you rely on, we'll tell you in advance where we reasonably can.
03
Your store and access
- You need an active Shopify store to use Roomful.
- When you install Roomful, you approve the Shopify permissions it asks for: reading and updating products and inventory, reading orders and locations, creating fulfilments for ticket items, publishing event products, and a checkout rule that stops sessions overselling. We use them only to run Roomful.
- You're responsible for who in your team can use the app, and for keeping check-in links private. Anyone with a check-in link can check guests in for the events it covers. You can revoke a link at any time.
04
Plans and billing
- Roomful has a free plan and may offer paid plans. Plans and prices are shown in the app and on our website.
- All app charges are billed by Shopify, through your Shopify bill, and Shopify's billing terms apply. We don't collect card details.
- We don't charge a fee per ticket. Shopify's own payment and transaction fees still apply to your sales; those go to Shopify.
- If you sell more tickets than your plan includes, sales keep going. We'll ask you to move to a plan that fits.
- We may change our plans or prices. We'll give you at least 30 days' notice before a price change affects you, and you can uninstall before it takes effect.
- Charges are not refundable except where Shopify's billing rules or the law say otherwise. Prices don't include taxes, which Shopify may add.
05
Your responsibilities
Roomful is a tool. You're the organiser, and you're responsible for:
- Your events: running them as advertised, with accurate dates, times, places, prices and capacities, and with any licences, permits, insurance and safety measures they need.
- Your customers: cancellations, refunds, changes and complaints. Refunds are made in Shopify; when you cancel or refund, Roomful frees the spot.
- Your own terms and privacy policy: what you tell customers about tickets, refunds and their data. For buyers' data, you're the controller and we handle it for you.
- Your messages: only sending guests messages about their booking, and following the law on email.
- The law: following the laws that apply to your business and events, including consumer, tax and data protection law, and Shopify's terms.
- Checking the result: making sure your events, prices and stock look right in your store before you sell.
06
Acceptable use
Please don't use Roomful to:
- Sell tickets to events that are illegal, fraudulent, or that you don't intend to hold.
- Send spam, or send guests anything other than messages about their booking.
- Upload content you don't have the right to use, or that is hateful, harassing or harmful.
- Try to get into other shops' data, our systems, or parts of Roomful you're not meant to reach.
- Overload, disrupt, scrape, copy, reverse engineer or resell Roomful, or test its security without our written permission.
If you do, we may suspend or end your access, as described below.
07
Your data
- Your shop's data, including your events and your customers' details, stays yours.
- You let us use it only to provide, secure and support Roomful for you. Our Privacy policy says how.
- You can export your guest lists as CSV at any time, on every plan.
- We may use anonymous, combined statistics (for example, how many tickets Roomful sends in total) to run and improve the service. These never identify you or your customers.
08
Our property
Roomful's software, design and brand belong to us. These terms give you the right to use Roomful while it's installed; they don't give you ownership of it. If you send us ideas or feedback, we may use them without owing you anything.
09
Availability
We work hard to make sure tickets arrive and check-in works. Even so, Roomful is provided "as is" and "as available". We don't promise it will always be available, free of errors, or right for your particular event.
Roomful depends on others, including Shopify, our hosting providers and email providers, and on the buyer's own inbox. We're not responsible for their outages or for emails a recipient's provider blocks or filters. We may also pause Roomful briefly for maintenance.
To the fullest extent the law allows, we disclaim all other warranties, such as merchantability, fitness for a particular purpose and non-infringement.
10
Limitation of liability
To the fullest extent the law allows:
- We're not liable for indirect or consequential losses, such as lost profits, lost sales, lost data, or harm to reputation, even if we were told they might happen.
- Our total liability for all claims about Roomful is limited to the greater of what you paid us for Roomful in the 12 months before the claim, or US$100.
Nothing in these terms limits liability that can't be limited by law, such as for fraud.
You agree to cover our reasonable losses and costs from claims by third parties (for example, your customers) about your events, your content, or your breach of these terms.
11
Uninstalling and termination
- You can stop using Roomful at any time by uninstalling it from your Shopify admin. App charges stop under Shopify's billing rules.
- We may suspend or end your access if you seriously or repeatedly break these terms, if we must for legal reasons, or to protect Roomful, other merchants or buyers. Where reasonable, we'll warn you first and give you time to fix the problem. If we stop offering Roomful altogether, we'll give you at least 30 days' notice.
- What happens to your data: when you uninstall, we stop all work for your shop straight away. When Shopify asks us to erase your shop's data, about 48 hours later, we delete your events, orders, tickets, check-ins and settings, as our Privacy policy explains.
- Tickets already sold: after uninstalling, Roomful stops sending emails and reminders for your shop. Once your data is deleted, ticket pages, QR codes and check-in links stop working. Export your guest lists before you uninstall, especially if you have events coming up.
- Sections that by their nature should continue after the end (such as liability, your responsibilities and governing law) keep applying.
12
Changes to these terms
We may update these terms. We'll change the date at the top, and for important changes we'll tell you by email or in the app at least 30 days before they apply. If you keep using Roomful after that, the new terms apply. If you don't agree, you can uninstall.
13
Governing law
These terms are governed by the laws of India. The courts in Delhi, India have jurisdiction over any dispute about them or about Roomful. Before going to court, please email us: we'd much rather sort it out together.
14
The rest
- These terms and the Privacy policy are the whole agreement between us about Roomful.
- If part of these terms can't be enforced, the rest still applies.
- If we don't enforce something straight away, we haven't given up the right to.
- You can't transfer these terms without our agreement. We may transfer them if Roomful is sold or reorganised, and we'll tell you if that happens.
- Neither of us is responsible for delays caused by things outside our reasonable control.
